How short-term overflow storage works in Calgary

Peak stock, early imports and stock held during a move all need Calgary space for a few months, and this is how a short-term overflow arrangement gets set up and billed.

Shrink-wrapped pallets of cardboard boxes line a wide aisle in a large warehouse, with tall pallet racking on the left and dock doors at the far end.

The short version

Short-term overflow storage in Calgary gives you extra pallet space in a 3PL building for weeks or months, billed on receiving, storage and handling out. You commit to a minimum term, a notice period and a set volume, so get each one in writing before the first load. CBRE's Calgary Industrial Figures for Q3 2026 say a strong quarter moved Calgary's industrial market closer to under-supply, so booking early is the safer plan.

Overflow space fits stock with a known end date

Overflow storage is extra warehouse space you use for a set stretch of weeks or months while your main building is full. It works best for stock with an end date you can see from the start. Three situations fit it well.

If you're still guessing at the exit date, plan for a longer arrangement from day one. Short-term terms work best when you and the warehouse both know when the stock leaves.

  • Peak stock. Seasonal inventory lands ahead of the selling window and fills more racking than you have for a few months.
  • Early imports. Containers arrive ahead of plan, and the stock needs a place to sit until your own building or your customer can take it.
  • A move. You are changing buildings, and the stock needs a home between your last day in the old one and the first day the new one is ready.

A short-term arrangement commits you to a few clear terms

Short-term space still runs on a written agreement. The commitments are smaller than a multi-year lease, but they are specific, so get each one on paper before the first truck is booked.

If the agreement renews on its own, put the end date in your calendar the day you sign. Automatic renewal helps when a peak runs long and costs you when nobody is watching it.

  • Minimum term. Ask for the shortest stay allowed, whether it is counted in weeks or months, and whether it starts at your first receipt or on the day you sign.
  • Notice period. Ask how much warning the warehouse needs before you pull the last pallet, and whether the agreement renews on its own when the term ends.
  • Volume. Agree on a pallet count or a block of space, and on what happens when you send more than you said.
  • Scheduling. Confirm who books inbound and outbound appointments and how far ahead.

Overflow billing follows what you store and what you move

A clear overflow quote splits the work into separate lines, so you can trace each pallet's cost from the inbound dock to the outbound truck. Ask for each line by name.

Two questions matter as much as the lines themselves. The first is how storage is counted. A count on a fixed date and a daily count give different totals for the same stock, and the gap is widest when pallets turn quickly.

The second is whether a minimum storage charge applies when your count runs low near the end of the term. Ask both questions of every warehouse before you compare quotes side by side.

  • Receiving, for unloading, checking and putting stock away.
  • Storage, charged by pallet position or by a block of space for each billing period.
  • Handling out, for picking full pallets or cases and loading the truck.
  • Extras such as container de-stuffing, relabelling, rework or wrapping, each listed separately.

Good data before the first load speeds receiving

The fastest overflow setups start with a clean product file. Send it before the first load is booked, so the warehouse can plan space, labour and dock time.

Get pallet heights exact. Our Calgary facility has a 28-foot clear height and ESFR sprinklers rated for high-pile storage, so accurate heights tell us how high your stock can go. The building has 100,000+ sq ft and six dock doors, and it handles receiving, cross-docking, container de-stuffing and storage.

  • A SKU list with descriptions, case dimensions, case weights and cases per pallet.
  • Pallet dimensions, heights and stacking limits.
  • A plain description of the product, so the warehouse can check it against the building's storage rules and sprinkler rating.
  • Arrival dates, carriers and container numbers for imports.
  • Any lot, date or serial tracking you need kept.
  • How the stock will leave, as full pallets or cases, and where it is going.

A tighter Calgary market rewards booking early

In its Calgary Industrial Figures for Q3 2026, CBRE reports that the city's industrial availability rate dropped to 3.6%. The same CBRE report puts the drop in available large-bay space at 42.8% in Q3 2026.

CBRE also says most of the space now being built is aimed at small and mid-bay tenants, so large-format users will have few new choices through 2027. Start the conversation as soon as you can see the peak, the import schedule or the move date, and lock in the space before the stock ships.

If your overflow stock is coming from British Columbia, our own trucks run Vancouver to Calgary six days a week, and the trip takes one to two days. That means the inbound leg and the storage can come from the same company.

Overflow that turns permanent needs a fresh agreement

Overflow has a way of staying. The term rolls over, the pallet count stops falling, and one day the overflow building is shipping orders every week. Terms that made sense for a few months then cost more than they should.

Signs it is time to renegotiate:

At that point, ask for a fresh quote built on your real volumes. Revisit the storage basis, since a block of space can suit a steady count better than pallet-by-pallet billing. Revisit the term, the notice period and the handling lines so they match how the stock leaves now, and ask whether your inbound and outbound trucking can sit on the same agreement.

If you need Calgary space for a few months, start with the product file above, your pallet count and your dates. Send them to Rolls Right or call our main line at (604) 298-0080, and we will build the quote around how your stock moves.

  • The agreement has renewed more than once.
  • Your pallet count has held steady for a full season.
  • You are shipping customer orders straight from the overflow space.
  • Extras show up on most outbound loads.
